Virtual & Hybrid Production

The secret to a great virtual, hybrid and live event is the production team behind the scenes. Many stand-alone virtual platforms and smaller companies will say their product does it all; we assure you they do not. Successful events require managed speaker, presenter and delegate instruction, timer countdowns, rolling content when needed, live switching of presenters, audio management, entertainment ques and hundreds of intricate details requiring focused attention to detail. Every one of our clients who hosted a virtual meeting has learned that a great team makes all the difference.

Here are some examples and questions regarding Virtual and Hybrid Production:

Can we broadcast a stream directly to the client's website, Microsite or something else?

  • CCR can broadcast to any solution required by the event's needs; there are no limitations to how and where we broadcast.

  • CCR uses the service Vimeo which can be embedded into the client website or a Microsite, and has found it to be one of the most reliable streamlining services.

  • We can share the Vimeo Link for attendees to view directly.

  • The link can be password protected for extra security.

  • Links are set to private, so they are not accessible by the general public unless asked to make it public.

  • Event Platforms often have an existing streaming service, and we can stream directly to them with an RTMP (Real-time Messaging Protocol) connection.

Do we offer post-editing and archiving services? What does that cost?

  • We have a full range of editing and archiving solutions to meet your specific needs. Editing rates are $85/hr, and depending on the resolution needed, Archiving is quoted by the length of time, size, number of people accessing, etc.

Any limitation on the graphics that can be used?

  • There are no limitations on visuals within a virtual and hybrid setting. We work with you on the placement of graphics, theme, animations, arrangement and combination with presentations and presenters.

Do we have the ability to have live Q & A to include a panel, live audience, or chat sessions? 

Yes, we do, and there are multiple solutions; a couple of examples are:

  • We have found that most of our managed virtual meetings are presented one way to a large group (Except in breakouts and networking), and questions are asked through the text portion of the Platform. Fully interactive and collaborative meetings like a regular Zoom call can be very difficult to manage, with hundreds of people asking questions simultaneously. We have done it and managed fully collaborative interaction, but it's a very complicated solution, and it is better to have a structured breakout and networking for fully interactive solutions.

  • For Q&A in a virtual-only event with no moderator, we recommend that a staff member is logged into both the event platform/streaming service and the Presenter Link so they can copy and paste text questions to the presenter/moderator. If there is no moderator, the ability to ask questions live through a direct Q&A is doable but can get complicated if not moderated.

  • For Hybrid events, Q&A should be handled in 2 ways:

    Live Q&A:

  • The Moderator/Speaker is in the Live environment and asks for questions from the floor and sees on a Down Stage Monitor (DSM).

  • The live audience can go to a mic on the floor.

  • The virtual audience using the Q&A chat feature.

  • Questions from the chat feature get sent to DSM.

Event app Q&A: 

  • Live and virtual audience enter questions into the event app.

  • Questions get copied to DSMs

  • Questions can also get displayed on Screens in Live Venue and on the broadcast.

How do we manage the presenters that will not be travelling on-site?

  • Remote presenters get a link to join the meeting.

  • They can interact with the Live - on stage – presenters

  • They can interact with a live audience

  • They can be displayed on the screen in the venue either as a full-screen camera or in Pips (Picture in Picture) with Slides

What would a Virtual Event or Gala with a live feed to award winners, either live on stage or remote, look like, and how would that work? 

  • Essentially the same as a live event. CCR has broadcast many awards and galas with Masters of Ceremonies, Entertainment, Cooking segments, Comedy, etc.

  • Award winners can be pre-recorded or brought in live for their acceptance speeches.

  • CCR offers Scenic and virtual backdrops; we can combine remote live locations, pre-recorded entertainment and any combination of solutions you can imagine.
